The project
Starting point
ProPrint Creations is a printing company with its own production that sells online through ProPrintweb, the shop we built for them. As well as catalogue products, much of their work is special orders that the sales team prices separately and sends to the client as a PDF proposal.
Each proposal then had to be entered on the website, copying the client, quantities, prices and technical description by hand. It was repetitive work, and any mistake in that data ended up reaching production.
What we did
We connected the sales inbox to the platform. When the sales rep sends the proposal by email, the AI reads the PDF, identifies the client and extracts the quote details, from the quantities and their prices to the format, paper, finishes and delivery.
With that data the system creates a custom quote in the client’s account, with the PDF attached. The team checks it in the admin panel and lets the client know, and the client accepts it and places the order from their private area, just like a catalogue purchase.
Technical decisions
The integration works on top of the custom development ProPrintweb already had, so the quote the AI creates uses the same clients, products and orders as the rest of the shop, with no separate application and no duplicated data.
The AI only interprets the document and returns the data in a fixed structure. Business rules, such as which account each quote goes to or how VAT is applied, stay in the platform’s code, and the AI model can be changed without rebuilding the integration.
